Most UK run clubs do not need running club software. That is the honest answer, and you will not find it on any vendor's website. If you organise a Tuesday night group of 25 people who pay nothing, a WhatsApp group and a pinned message will hold just fine. Software starts earning its keep at a specific point, and this guide is about finding that point, then working out what to buy if you have passed it.
Everything currently ranking for this search is a sales page written by a company selling one product. So here is an independent version: what the tools actually do, what they publish as a price, and where each one falls down. RunClub is my product and I have been blunt about what it does not do.
What running club software actually has to do
Six jobs. Most products do four of them well and quietly skip the rest.
- Comms. Getting one message to everyone who cares about Tuesday, without 40 replies of thumbs up burying it.
- Events and RSVPs. A recurring run people can commit to once, with a head count the run leader can see before they leave the house.
- Attendance. Who actually turned up, recorded in ten seconds, at a car park, in the rain, on a cold phone screen.
- Member records. Emergency contacts, waivers, and for junior sections, safeguarding and medical information.
- Payments. Subs collected by card or direct debit and reconciled without a spreadsheet.
- Routes. A shareable map of Tuesday's five miles so a newcomer knows what they are agreeing to. You can build one in the route creator and drop the link in the chat.
A seventh job is starting to matter: giving people a reason to show up on a wet January evening. Streaks, leaderboards, a coffee discount at the place you finish. Almost no club management product touches it, which is odd, because retention is the thing organisers actually lose sleep over.
Do you actually need club software yet?
Probably not, if you are under roughly 30 regulars, charge nothing, and one person still knows everyone's name. WhatsApp plus a shared calendar genuinely works at that size and costs nothing. Buying a member management system for a 20 person social group creates admin rather than removing it.
Three things break the WhatsApp setup. Any one of them is a real signal.
- Money. The moment you collect subs, kit money or race entries, you need a record that survives the treasurer moving to Leeds.
- Head count. If a run leader cannot tell how many people are coming until they arrive, pace groups and leader ratios become guesswork.
- Churn. A newcomer who has to scroll 200 messages to find the meeting point usually does not come back a second time.
If none of those apply, do nothing and spend the money on cake. If only the money one applies, decide whether to charge a membership fee at all before you buy a system to collect one.
Running club software compared
These are list prices published on each vendor's own site, checked in August 2026. Prices move, so confirm before you commit. Read the transaction fee column carefully, because for most clubs it is the bigger number.
| Tool | Built for | Published price | Payment fees | Where it falls down |
|---|---|---|---|---|
| WhatsApp + shared calendar | Small social groups | Free | None | No RSVPs, no attendance, no history, no records |
| Spond | Teams and groups of all kinds | Free platform | UK payments: 2.5% + 20p | Generic to all sport, no running specific features |
| SportMember | Sports clubs with teams | Basic free; PRO £0.16 per user per month, £22 monthly minimum | £0.35 + 1% per payment | Team and fixture shaped, not group run shaped |
| Coacha | Affiliated clubs, coaches, junior sections | Lite free to 50 members; Premium £36/month; Custom £60/month | Via Stripe or GoCardless | Heavy admin tool, nothing for member motivation |
| connectMyClub | UK member clubs wanting a website too | Free under 50 members, then £1 per member per year | 0.7% to 0.9% platform, plus gateway 1.5% + 20p | Website and membership focus, not run night focus |
| ClubRight | Gyms and paid membership businesses | Core £79/month + VAT; Complete £129/month + VAT | Direct debit 40p to 45p per collection | Priced and built for a business, not a volunteer club |
| RunClub | Informal UK run clubs | Free for clubs; member premium £9.99/month or £99.99/year | Does not collect club subs | No subs collection, no safeguarding records |
Two absences are worth naming. Meetup charges the organiser and has no attendance or payment tooling worth the name. Strava is where the run gets recorded rather than where the club gets organised, which is why clubs that live on Strava still keep their admin somewhere else.
What the vendor sites do not tell you
Three things you tend to discover after the trial has started.
The subscription is rarely the biggest number. A club collecting £4,000 a year in subs through a 2.5% payment fee hands over £100 before any per transaction charge. Spond publishes a UK fee of £0.20 plus 2.5% on payments and is otherwise free. SportMember's free tier charges £0.35 plus 1%. "Free" here means free to install, not free to run.
Nearly all of it is built for affiliated clubs. Feature lists lead on safeguarding, medical records, direct debit mandates and accounting integrations because the buyer they picture has a committee, a constitution and a treasurer. England Athletics affiliation costs £210 per club from April 2026, plus £23 per registered athlete. If that is you, the heavier products are the right answer. If your club is 30 people, a Tuesday route and a group chat, you are being sold a gym CRM.
Pricing is often gated. Several vendors put numbers behind a trial signup or a regional page. Coacha publishes its UK prices openly, which is more than most manage. Assume anything unpublished is negotiated, and ask for the annual total including fees before you demo.
Where RunClub fits, and where it does not
RunClub is free for clubs, runs on iOS and Android, and is built for the informal social run club rather than the affiliated one. Events with RSVPs, recurring runs, QR and GPS check in, custom waivers, roles and leaderboards. Members use the club side free. Premium is £9.99 a month or £99.99 a year and adds the check in tab and the deals wallet. Venues pay £29.99 a month to list a runner deal.
What it does not do, said here rather than left for you to find in week two: no membership fee collection, no direct debits, no safeguarding or medical records, and no Xero or QuickBooks integration. It is available on iOS and Android. If you run a junior section or collect subs, Coacha and ClubRight beat it outright on those jobs and I would point you at them.
The axis nothing else competes on is the reward layer: local businesses listing deals for runners who check in at your events, so showing up on a wet Tuesday buys the coffee afterwards. Browse the UK run club directory to see how clubs are using it.
Running club software FAQ
Is there free running club software?
Yes. Spond is free to use, SportMember has a free Basic tier, Coacha Lite is free up to 50 members, and RunClub is free for clubs. All of them make money elsewhere, usually on payment processing fees or a member subscription, so check that before committing.
Can you run a club properly on WhatsApp alone?
Up to about 30 regulars with no membership fee, yes, and plenty of excellent UK clubs do exactly that. It fails once you need a head count before the run, a record of who attended, or money collected. Add a tool at that point, not before.
Do I need club software if we do not charge a membership fee?
Only for attendance and comms, which means you can ignore most of the market. The membership systems are priced around subs collection and direct debits. A free club with no fees needs events, RSVPs and a way to record who turned up, nothing heavier.
What is the difference between club software and a running app?
Club software is for the organiser: events, attendance, members, payments. A running app is for the individual runner: pace, distance, kudos. They sit side by side on the same phone. For the member side, see our guide to the best running apps for run club members.
What should a new club buy first?
Nothing. Run six weeks on WhatsApp and a shared calendar, see whether people come back, and let the first real bottleneck tell you what to buy. Most clubs that fold in the first year fold on attendance, not admin.
